How to Organize Tasks in Microsoft To Do on Windows 11

1. Open Microsoft To Do.

To get started, open Microsoft To Do. You can find it in your Start menu, or by searching.

2. Select a list.

On the left side of the screen, you’ll see a list of your lists. If you haven’t created any lists yet, you’ll just see a default list called “To Do”.

Click on the list you want to work with. All of the tasks in that list will appear in the main window.

3. Sort your tasks.

At the top of the main window, you’ll see a few options for sorting your tasks:

  • Sort by due date: Tasks are sorted by the date they’re due, with the tasks due soonest at the top of the list.
  • Sort by priority: Tasks are sorted by their priority level, with the most important tasks at the top of the list.
  • Sort by list: Tasks are sorted by the list they’re in, with the tasks in the current list at the top of the list.

4. View your tasks in a different way.

If you want to see your tasks in a different way, you can click the “View” button at the top of the main window. You’ll see a few different options:

  • List view: This is the default view. Tasks are sorted according to the options you’ve selected, and you can see the details of each task.
  • Day view: This view shows you all of the tasks you need to do today, sorted by the time they’re due. Tasks that don’t have a due date are shown at the bottom of the list.
  • Week view: This view shows you all of the tasks you need to do this week, sorted by the day they’re due. Tasks that don’t have a due date are shown at the bottom of the list.

5. Mark a task as complete.

When you finish a task, you can mark it as complete. To do this, click the checkbox to the left of the task. The task will be moved to the “Completed” section of your list.

6. Delete a task.

If you want to delete a task, click the “X” to the right of the task. The task will be permanently deleted from your list.

7. Add a new task.

To add a new task, click the “Add a task” button at the bottom of the main window. Type in the task you want to add, and press Enter.

8. Set a due date for a task.

If you want to set a due date for a task, click on the task to open the task details. In the “Due date” field, select the date you want the task to be due. You can also set a time for the task to be due, if you want.

9. Set a priority for a task.

If you want to set a priority for a task, click on the task to open the task details. In the “Priority” field, select the priority level you want to set. The options are “Low”, “Medium”, and “High”.

10. Add a note to a task.

If you want to add a note to a task, click on the task to open the task details. In the “Notes” field, type in the note you want to add. You can also use the “Attachments” field to add files to your task.

Assuming you have a Microsoft account set up, the first thing you’ll need to do is head to the Microsoft To Do website and sign in. Once you’re signed in, click the “Add a list” button in the top-right corner of the screen.

In the “Add a list” pop-up window, give your list a name and click the “Add list” button.

Once you’ve added a list, it will appear in the left-hand sidebar on the Microsoft To Do website. To add tasks to your list, click on the list name in the sidebar and then click the “Add a task” button in the top-right corner of the screen.

In the “Add a task” pop-up window, enter the task name and click the “Add task” button.

To mark a task as complete, click the checkbox next to the task name. To edit a task, click the pencil icon next to the task name.

To delete a task, click the trash can icon next to the task name.

If you want to add a due date to a task, click the calendar icon next to the task name and then select the date from the calendar.

To add a note to a task, click the note icon next to the task name and then enter your note in the “Add a note” pop-up window.

To add a file to a task, click the paperclip icon next to the task name and then click the “Upload file” button in the “Add a file” pop-up window.

To add a subtask to a task, click the subtask icon next to the task name and then click the “Add a subtask” button in the “Add a subtask” pop-up window.

In the “Add a subtask” pop-up window, enter the subtask name and click the “Add subtask” button.

To add a tag to a task, click the tag icon next to the task name and then enter the tag name in the “Add a tag” pop-up window.

To share a task, click the share icon next to the task name and then enter the email address of the person you want to share the task with in the “Share with” pop-up window.

Microsoft To Do is a great way to keep track of your tasks and to-dos. By following the steps above, you can easily add, edit, and delete tasks, as well as add due dates, notes, files, and tags.
